Welcome to Board.Vision Tutorials. In this tutorial, we will walk you through the steps to create an Auditor.
Important Note: The Board.Vision web app is optimized and supported for desktop use on Google Chrome (version 65.0 and later) and Microsoft Edge (version 87.0 and later). Please note that this support is intended for desktop environments and is not applicable to mobile devices.
To create an Auditor:
1) Log in to your Board.Vision account using your registered email address and password.
2) From the left menu, go to Users, and click on +Add User.
3) In the Add User page, enter the mandatory fields and select Auditor from the System Roles section.
4) Scroll down to Contact Information and enter the user’s Primary Email and Mobile Phone number.
To set the Auditor's access time range:
5) Navigate to the "Auditor's Access Access Setting" section and select the end date* for BV Access Time Range.
*End Date refers to the date the Auditor's access to Board.Vision ceases.
Important Note: Once you have activated the Auditor's User account, the Auditor's access to Board.Vision will also be activated.
To grant Auditors access to Approvals:
6) Navigate to "Approval Access Time Range" and choose the Start Date and End Date.
Important Note: After setting the start and end date range, all Approvals that have a passing date within this date range will automatically be displayed in the "Accessible Approvals" box.
To disallow Auditor access to specific Approval(s) within the set date range:
7) First, click on the white box under the "Accessible Approvals" section, then deselect the Approval Name from the "Search to grant access" pop-up window.
Note: By selecting the Not Applicable checkbox, you are restricting the Auditor's access to any Approvals.
To grant Auditors access to Meetings:
8) Navigate to "Meeting Access Time Range" and select the Start Date and End Date.
Important Note: After setting the start and end date range, all past Meetings with an end date within this range will be displayed in the "Accessible Meetings" box.
To disallow Auditors access to certain Meeting(s) within the date range set,
9) First, click on the white box under the Accessible Meeting section, then deselect the Meeting Name from the "Search to grant access" pop-up window.
Note: By selecting the Not Applicable checkbox, you are restricting the Auditor's access to any Meetings.
10) Next, select the checkboxes under the "Document Settings" section to enable document download wing and click on Update:
- Allow Auditor to download Approval Certificate of Completion (COC)
- Allow Auditor to download Meeting Minutes
- Allow Auditor to download supporting document in Register Module
11) To activate the Auditor, click on either the "Activate and Notify" or "Activate" button located at the top right corner of the screen.
*Note: If you select the "Activate" button, the user will not receive an email notification about their account being created. Administrators may choose this option if the user has already been added to other companies and has previously set their password.
Important Note:
The auditor is only permitted to access scheduled, ongoing, or ended meetings and past approvals.
If a meeting or approval is canceled or archived, the auditor's access will automatically be revoked.
