Previously, Administrators had two options, whether to add a Director’s appointment as a new or past record in the Register of Directors or CEOs.

 

When the Administrator added a Director’s appointment as a new record and confirmed the appointment date, it would be auto-populated in his/her Director's Disclosure Section 156 with Pending Circulation status. In this case, the Director or his/her Authorised Preparer was then required to circulate the appointment for Section 156.

 

On the other hand, when the Administrator added a Director’s appointment as a past record and confirmed the appointment date, it would be auto-populated in his/her Director's Disclosure Section 156 with Not Circulable status, indicating that no circulation was required.

 

Now, this new enhancement provides the Administrator the capability to select three types of Director’s Disclosure circulation status when confirming, editing, or ceasing a Director's appointment in the Register of Directors or CEOs.

 

Below is a comparison of the previous and current designs for your reference. 

 

1) When Administrators confirm the date of appointment for a record with a 'Pending' status. 


Previous Design

The Confirmation pop-up screen did not include a dropdown menu for the circulation status. 

 

Initially, If the Administrator had entered the Director’s appointment as new record, the appointment would be updated with Pending Circulation status and circulation was required.


If the Administrator had entered the Director’s appointment as past record, the appointment would be updated with Not Circulable status and no circulation was required. 

Current Design


- We have added a dropdown menu on the Confirm Register pop-up screen when the Administrators click on the Confirm Date of Appointment button.

 

Administrators are able to select from the options provided:


1. Yes, it requires circulation.

2. No, it does not require circulation.

3. No, it's already circulated.


2) When Administrators edit a record with a 'Confirmed' status.


Previous Design

- Administrators could select/deselect the ‘Past Record’ checkbox located at the top of the Register of Directors or CEOs pop-up screen.

- We have added a Confirm Action pop-up screen when the Administrators click on the Update button.

1. Yes, it requires circulation.

2. No, it does not require circulation.

3) When Administrators cease a record with a 'Confirmed' status.

- The Remove from Register pop-up screen did not include a dropdown menu for the circulation status. 

 

Initially, if the Administrator had entered the Director’s appointment as new record, the ceased appointment would be updated with Pending Circulation status and circulation was required.

 

If the Administrator had entered the Director’s appointment as past record previously, the ceased appointment would be updated with Not Circulable status and no circulation was required. 

Current Design


- We have added a dropdown menu on the Remove from Register pop-up screen when the Administrators click on the Remove from Register button.

 

Administrators are able to select from the options provided:


1. Yes, it requires circulation.

2. No, it does not require circulation.

3. No, it's already circulated.


Note: The available options for circulation status are as follows:

 

1) Yes, it requires circulation

  • The appointment status will be shown as 'Pending Circulation' in the Director’s Disclosure Section 156 Current Appointments/Interests, indicating that the Director is required to circulate his directorship appointment.

 

2) No, it does not require circulation

  • The appointment status will be shown as 'Not Circulable' in the Director’s Disclosure Section 156 Current Appointments/Interests, indicating that Director is not required to circulate his appointment in Section 156.

 

3) No, it's already circulated

  • The appointment status will be shown as 'Circulated’ in the Director’s Disclosure Section 156 Current Appointments/Interest', indicating that the Director’s appointment has already been circulated.


Administrators will also be able to view the circulation status under the Director’s Disclosure Circulation Status column in the Register of Directors and CEOs.
