How to Link an Uploaded RMS Document to Existing Records

Welcome to Board.Vision Tutorials. In this tutorial, we will walk you through the steps to link an uploaded RMS document to any existing records such as the Meetings, Approvals, Users or User Groups.

Important Note: The Board.Vision web app is optimised and supported for desktop use on Google Chrome (version 65.0 and later) and Microsoft Edge (version 87.0 and later). 


To link an uploaded RMS document to any existing Meetings, Approvals, Users or User Groups:

1) Log in to your Board.Vision account using your registered email address and password. 


2) From the left navigation menu, go to Record Management System

Then, select Others from the "All Module" filter.


3) Next, click on the Select Action button and choose an action from the dropdown menu.


You can select from the following options:


a) Add to Approval
Attach either a Supporting Document or a Post Approval Document, depending on the Approval's status:

  • Supporting Document: Allowed for Draft and Pending Outcome statuses.

  • Post Approval Document: Allowed for Pending Outcome, Passed, Failed, Confirmed, and Deadline Ended statuses.


b) Add to Meeting
Attach the document to various section of a meeting, depending on its status:

  • Meeting Agenda Document: Allowed for Draft, Scheduled, Ongoing, and Ended statuses.

  • Meeting Additional Document: Allowed for Draft, Scheduled, Ongoing, and Ended. statuses.

  • Post Meeting Document: Allowed for Scheduled, Ongoing, and Ended statuses.

  • Meeting Minutes: Allowed for Ended status only.

  • Note: No document can be uploaded to cancelled meetings.


c) Add to User

  • Documents can be uploaded to users of all statuses.


d) Add to User Group

  • Documents can be uploaded to Active and Draft status user groups.
    Note: Uploading is not allowed for Inactive or Dissolved user groups.
