In February 2025, we introduced the Records Management System (RMS) to Administrators and Business Users.
We have now enhanced the RMS to allow Auditors and Executive Assistants (EAs) to access this module.
1) Executive Assistant View
EAs can now view and manage documents within the RMS based on their assigned access.
Documents accessible to EAs:
Meeting agenda documents (if the Meeting Advanced Settings "Allow Executive Assistant to View Meeting Agenda Documents" is turned on).
Documents granted access directly in RMS.
Documents under their own user profile.
2) Auditor View
Auditors can now access relevant records in the RMS for review and reference.
Documents accessible to Auditors:
Meeting minutes documents.
Approval Certificate of Completion (COC) documents.
Approval supporting documents (if the Document Settings, "Allow Auditor to View Approval Supporting Documents" under Auditor's User profile is turned on).
Documents granted access directly in RMS.
Documents under their own user profile.
Important Note:
EAs can view meetings only if the BU they assist has been added as a participant (not as a viewer).
The Manage Column pop-up in RMS functions the same as in the BU view. EAs and Auditors can choose to show or hide columns but cannot edit any column settings.
